Scope of this notice
This notice explains how we handle personal data in our business contact database. It applies to individuals whose business contact details appear in that database.
It does not apply to data our messaging platform clients upload to send their own campaigns. We act as a processor for that data, we process it only on the client’s documented instructions, and we never use it in our business contact database or make it available to data buyers. The two datasets are held and managed separately.
What we hold
We process business contact information relating to individuals acting on behalf of a business or organisation:
- First and last name
- Job title
- Organisation name
- Business email address
- Business telephone number
- Business address
- Social media or professional profile links
We do not process special category data as defined in Article 9 of the UK GDPR.
Where a record consists only of a generic organisational address (for example, info@ or sales@ at a limited company) and does not identify an individual, it is not personal data and this notice does not apply to it.
Where we get it
We obtain business contact data from:
- Third-party data suppliers, currently GrowMeOrganic, which compile business contact information from publicly accessible online sources.
- Publicly accessible sources, including organisations’ own websites.
Why we process it, and our lawful basis
We process this data to maintain a database of UK business contacts and to supply that data to our clients for their sales and marketing activities.
Our lawful basis is legitimate interests under Article 6(1)(f) of the UK GDPR. Our interests, and those of our clients, are in identifying and reaching relevant business contacts for business-to-business sales and marketing. We have completed a Legitimate Interests Assessment to confirm that these interests are not overridden by the rights and freedoms of the individuals concerned. A summary is available on request from [email protected].
We do not rely on consent for this processing.
How long we keep it
We retain records for as long as the associated organisation remains active, the data remains accurate and relevant, and we have a legitimate business need to process it. We review the database at least every 12 months and remove or update records as appropriate. Records subject to an objection or erasure request are suppressed permanently.
International transfers
We hold and process this data in the United Kingdom. We do not transfer it outside the UK.
Your rights
You have the right to:
- Access the personal data we hold about you
- Rectification of inaccurate or incomplete data
- Erasure of your data
- Restriction of our processing
- Object to our processing, including an absolute right to object to direct marketing
To exercise any of these rights, email [email protected], or write to us at the address above. We respond within one calendar month.
If you received an email notice from us, that email also contains a one-click opt-out link which removes your record directly.
Where we have already supplied your data to clients, we will notify them of any erasure, rectification or restriction in accordance with Article 19 of the UK GDPR.
Automated decision-making
We do not make decisions about you based solely on automated processing that produce legal effects or similarly significantly affect you.
Complaints
Please contact us first at [email protected] and we will try to resolve your concern.
You also have the right to complain to the Information Commissioner’s Office: Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, telephone 0303 123 1113, ico.org.uk.
